NextMantra AI (“NextMantra”, “we”, “us”) is an AI-powered recruitment platform that helps companies screen resumes and conduct first-round voice interviews. Our platform is operated by NextMantra AI, based in Bangalore, India. You can reach us at support@nextmantra.ai.

2. Data We Collect

Depending on how you interact with NextMantra, we may collect:

Account & contact data: Name, email address, company name, and job title when you sign up or contact us.
Resume data: Resumes and CVs uploaded to the platform for candidate screening, including skills, employment history, and education.
Interview data: Audio recordings and transcripts of AI-conducted voice interviews. This data is tied to candidate profiles.
Usage data: Pages visited, features used, and session logs collected automatically to improve the platform.
Payment data: Billing information processed via our payment provider. We do not store full card numbers on our servers.

3. How We Use Your Data

To provide, operate, and improve the NextMantra platform.
To conduct AI-powered resume screening and voice interviews on behalf of recruiters.
To send transactional emails (interview invitations, evaluation reports, billing receipts).
To respond to support requests and inquiries.
To analyse aggregate usage patterns and improve our AI models (using anonymised data only).
To comply with legal obligations.

We do not sell your personal data to third parties. We do not use candidate interview data to train our AI models without explicit consent.

4. Data Sharing

We share data only with third parties necessary to provide the service:

Cloud infrastructure: Our platform runs on AWS. Data is stored in secure cloud storage with encryption at rest and in transit.
AI providers: Voice interviews are processed using third-party speech and language AI services. Interview content is transmitted under data processing agreements.
Payment processor: Billing is handled by our payment provider. Your card data is processed by them under PCI-DSS compliance.
CMS: Our blog uses Sanity (sanity.io) as a content management system. Blog-related data (article content, author profiles) is stored there.

5. Candidate Data & Recruiter Responsibility

Recruiters using NextMantra upload candidate data (resumes, contact details) and initiate AI interviews. Recruiters are responsible for obtaining necessary consents from candidates before submitting their data to the platform, in accordance with applicable employment and data protection laws (including DPDP Act 2023 in India and GDPR where applicable).

NextMantra acts as a data processor for candidate data on behalf of recruiters (the data controller) for the purposes of the recruitment process.

6. Data Retention

Account data is retained for as long as your account is active.
Candidate data (resumes, interview recordings, evaluation reports) is retained for 12 months after the associated job posting is closed, unless deleted earlier.
Usage logs are retained for 90 days.
You may request deletion of your data at any time by emailing support@nextmantra.ai.

7. Your Rights

Depending on your location, you may have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your data.
Object to or restrict certain processing.
Data portability (receive your data in a machine-readable format).

8. Cookies

We use essential cookies to keep you signed in and maintain your session. We do not use third-party advertising cookies. Analytics (if any) use privacy-respecting, cookieless methods.

We use industry-standard security practices including TLS encryption for data in transit, AES-256 encryption for data at rest, access controls, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but take reasonable precautions to protect your data.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on our platform. Continued use of the service after the effective date constitutes acceptance of the updated policy.
